THE SMSF SWITCHING CHECKLIST
Switching SMSF administrators? Ask these ten questions first.
Most trustees compare administrators on price alone. The questions that actually matter sit somewhere else.
WHY TRUSTEES SWITCH
Four common drivers.
01
Fees that aren’t really fixed
“From $X” pricing usually means $X plus add-ons. Switching trustees often discover their real fee is double the headline.
02
Errors and re-work
Mistakes in financials, contribution tracking, or pension calculations. Errors in an SMSF compound. They affect tax, audit and compliance.
03
Communication breakdown
Shared inboxes. Different staff every call. No one who actually knows your fund.
04
Technical capability gaps
Your fund moves into pension phase, takes on an LRBA, or holds business real property, and your administrator suddenly can’t keep up.
THE 10 QUESTIONS
Before you switch, ask these.
QUESTION 01
Will I have a single, named point of contact who knows my fund?
Why it matters. SMSF administration is detail-heavy. Re-explaining your fund history to a new staff member every time you call is exhausting and increases the risk of errors. A dedicated contact builds knowledge of your fund over time and shortens every interaction.
QUESTION 02
What technology platform do you use, and will I have my own login?
Why it matters. The platform determines how fast your data is processed, how clean your reporting is, and whether you can see your fund in real time. Outdated software means manual reconciliation, slower turnaround, and higher fees.
QUESTION 03
What’s your typical turnaround time on the annual return?
Why it matters. Late returns mean delayed tax outcomes, late ATO compliance, and (for funds in pension phase) disrupted cash flow planning. For an established SMSF lodged through a tax agent, the deadline is typically 15 May the following year (newly registered funds and self-lodgers face earlier deadlines). A competent administrator should have most funds done well before the 15 May date.
QUESTION 04
Exactly what’s included in the annual fee, and what costs extra?
Why it matters. “From $X” pricing usually means $X plus add-ons. Common extras include actuarial certificates, document amendments, in-specie transfers, BDBN preparation, pension commutations, ATO correspondence, and complex asset reporting. Get the inclusions list before you sign anything.
QUESTION 05
Who audits my fund, and is the auditor genuinely independent?
Why it matters. SMSF auditors must comply with the independence requirements in APES 110 (the Code of Ethics for Professional Accountants) as picked up by the SIS Regulations and SIS Act. Pre-arranged or ‘in-house’ audit relationships have come under increasing ATO scrutiny and can put your fund at risk.
QUESTION 06
How do you handle technical complexity like pensions, property, LRBAs and Division 296?
Why it matters. Most SMSFs hit at least one technical issue: starting an account-based pension, holding business real property, taking on a limited recourse borrowing arrangement, or navigating the Division 296 tax that commences from 1 July 2026. A bookkeeper-style admin will get this wrong, and the cost of getting it wrong is significant.
QUESTION 07
Will you proactively flag compliance windows and risks during the year, or only at year-end?
Why it matters. Reactive administrators only contact you after 30 June. By then, contribution caps, pension minimums, and tax planning windows have all closed. Proactive administrators flag compliance issues and planning windows during the year, when they can still be acted on.
QUESTION 08
How will you handle the transfer from my current administrator?
Why it matters. A messy transition can result in lost data, missed transactions, duplicated entries, or compliance gaps in the changeover year. The new administrator should drive the process, not you.
QUESTION 09
If my fund has a compliance issue, will you help fix it, or just point it out?
Why it matters. Most SMSFs hit a compliance hiccup at some point: an in-house asset breach, a contribution cap exceedance, a missed pension minimum. A good administrator helps you remediate, including liaising with the ATO. A poor one notes it in a report and leaves you to sort it out.
QUESTION 10
What are your team’s qualifications and credentials?
Why it matters. SMSF administration is one of the most heavily regulated areas of accounting. The difference between a Chartered Accountant with SMSF Specialist accreditation and a general bookkeeper is significant, for both quality of work and professional indemnity coverage.
